Phone Etiquette Tips For Receptionists

In addition to addressing the queries of people in person, a receptionist also answers incoming phone calls. Knowing how to answer telephone calls is very important to achieving a positive client experience. Here are some tips on how to answer telephone calls as a receptionist:

  • Smile when answering the phone. A smile is contagious and your caller will feel that you are accommodating and be comfortable talking to you. After all, you want your callers to have a positive impression not only of you but also of the company.
  • Have a standard greeting, like “thank you for calling (name of company)” and “how may I help you?”.
  • Be mindful of your manners. As much as possible, use “please” and “thank you”. This will also reflect your respect and mindfulness.

Avoid saying “I don’t know” if you don’t know what to say or you don’t have an answer to the person’s question. Know how to deflect the person’s attention by saying ““Let me connect you with the best person who can help you” or “I’ll try to find out for you”.
